Operations Administrator (Admin Officer)

Job Title: Operations Administrator (Admin Officer) Reports To: Creative Director / CEO Employment Type: Full-time Job Summary The Operations Administrator is responsible for maintaining structure, discipline, and operational efficiency within the fashion business. This role ensures that staff adhere strictly to company policies, production standards, and timelines. The Admin oversees daily operations, monitors staff conduct, enforces accountability, and ensures every finished garment meets the brand’s quality benchmark before delivery. Key Responsibilities 1. Staff Management & Discipline • Supervise all staff attendance, punctuality, and attitude to work. • Enforce compliance with company policies, code of conduct, and standard operating procedures. • Conduct roll calls at resumption and closing time. • Issue verbal and written warnings for lateness, absenteeism, or misconduct, and escalate serious cases. • Maintain daily attendance and behavior logs. • Foster a culture of professionalism, teamwork, and respect among staff. 2. Inventory & Asset Management • Keep accurate records of all fabrics, accessories, and production materials issued. • Ensure proper usage and prevent waste or loss of materials. • Maintain orderliness and cleanliness in all production and administrative areas. • Monitor the use and condition of equipment (machines, irons, furniture, etc.) and report damages promptly. 3. Reporting & Documentation • Maintain up-to-date records of attendance, infractions, and output performance. • Prepare and submit weekly reports covering staff discipline, production efficiency, and quality trends. • Recommend corrective actions and improvement plans where needed. Qualifications • Minimum of HND/BSc in Business Administration, Industrial Relations, or related field. • At least 3 years of experience in administrative or supervisory roles (preferably in fashion, manufacturing, or hospitality). • Strong organizational and leadership skills. • Excellent communication, conflict resolution, and documentation abilities. • Ability to enforce discipline while maintaining team morale. Key Performance Indicators (KPIs) • Staff punctuality and adherence to policy. • Cleanliness and organization of the workspace. • Accuracy and timeliness of weekly reports. Work Schedule • Monday to Friday • 8:00 AM – 6:00 PM
