The Admin/HR Officer is the operational backbone of Tenderville School, ensuring the school runs smoothly day to day while delivering a warm, professional, and reassuring experience to every parent, prospective family, staff member, and visitor. The role sits at the intersection of people management, customer/client engagement, and organisational compliance — safeguarding the school's records, upholding its policies, and protecting the Tenderville brand experience at every touchpoint. Key Responsibilities 1. Customer / Client Engagement & Satisfaction • Serve as the first point of contact for prospective and current parents — in person, by phone, email, and via Instagram/website enquiries — ensuring every interaction reflects Tenderville's warmth, professionalism, and brand voice. • Manage the admissions enquiry pipeline: respond promptly to enquiries, schedule school tours, follow up on applications, and guide families through enrolment to close. • Own the parent experience end-to-end: onboarding new families, handling day-to-day requests, and resolving concerns or complaints quickly, empathetically, and to full resolution. • Conduct regular parent satisfaction check-ins (e.g. termly surveys, informal feedback calls) and report insights and trends to the Director. • Coordinate parent-facing events and communications — Parent Edge webinars, Open Days, Summer Camp registration, term-start/end communications — ensuring accuracy, timeliness, and a consistent brand tone. • Track and follow up on re-enrolment, referrals, and retention risk (e.g. withdrawal enquiries, payment concerns) proactively rather than reactively. • Build strong relationships with external partners and vendors (healthcare partners, hospital/eye-clinic collaborators, suppliers) as an extension of client-service excellence. 2. Human Resources Administration • Manage the full employee lifecycle: job postings, screening, interview scheduling, reference checks, offer letters, onboarding, and exit processes. • Maintain accurate, confidential personnel files for all staff (contracts, IDs, certifications, appraisal records, disciplinary records) in both physical and digital form. • Administer staff attendance, leave tracking, payroll input support, and statutory remittances (pension, NHF, PAYE) in coordination with the school's accountant/bank. • Coordinate staff performance appraisals, probation reviews, and professional development / training plans (including onboarding to TACES/AFT Cycle standards). • Manage staff welfare matters, grievance handling, and disciplinary processes in line with Nigerian labour law and school policy. • Support recruitment for teaching and non-teaching staff, ensuring safeguarding checks (police/character references) are completed before hire, per Lagos State Ministry of Education requirements. 3. Records & Documentation • Maintain and safeguard pupil records: admission forms, medical information, attendance, academic records, and safeguarding/incident logs — with strict confidentiality protocols. • Maintain the official school register and ensure records are audit-ready for Lagos State Ministry of Education inspections and other regulatory reviews. • Own document version control for all school policies, letters, contracts, and templates, ensuring the most current approved version is always in use. • Set up and maintain a clear, secure filing system (digital and physical) with defined retention and disposal schedules in line with data protection best practice. • Prepare, format, and file correspondence, minutes, reports, and management documents (e.g. board/advisory materials, working capital or partnership correspondence) to a professional standard. 4. Policy Development, Implementation & Compliance • Draft, update, and maintain the school's operational policies — admissions, attendance, code of conduct, child protection/safeguarding, staff handbook, health & safety, and data protection. • Ensure all policies are communicated to staff and parents, understood, and consistently applied; flag gaps or outdated policy areas to the Director. • Champion child protection and safeguarding compliance across the school, working closely with designated safeguarding leads and advisors (e.g. Taiwo Akinlami's guidance). • Monitor regulatory compliance with the Lagos State Ministry of Education and other relevant bodies, keeping licences, approvals, and inspection documentation current. • Maintain and enforce data privacy practices for parent and pupil information (NDPA compliance). 5. General Office & Facility Administration • Oversee day-to-day office operations: supplies, vendor coordination, facility upkeep requests, and front-desk management. • Support budgeting and expense tracking for admin operations; process invoices and liaise with the finance function. • Coordinate school calendar logistics — terms, events, interhouse competitions, camps — ensuring internal and external stakeholders are informed on time. • Provide administrative and scheduling support to the Director, including preparing materials for board, advisory, and partner meetings. Qualifications & Experience • Bachelor's degree in Human Resources, Business Administration, Office Management, or a related field. • Minimum 3–5 years' experience in an administrative, HR, or client-facing operations role; experience in a school or service-led environment is a strong advantage. • Proficiency in Microsoft Office / Google Workspace and comfort learning school management or CRM-style software. • Prior exposure to child protection/safeguarding frameworks is a plus.
